Terms and Conditions

While we ensure common sense is always taken well into consideration at all events for us to continue to operate in the future there are some T's & C's that must be read and understood below.

PAYMENTS

  • By agreeing to the terms and conditions, you the customer / client:

  • Has understood the fees associated with the Roving Gelato / Roving Events services.

  • Due to the nature of the event catering business, we operate strictly under a prepaid system.

  • We require a 50% deposit within 7 working days of sending an invoice to secure your event.

  • The Customer / Client must pay the balance of the invoice 30 days before the event. Unless the event is booked within 30 days then the balance to be paid within 7 days before the event.

  • Please use your invoice number for payment reference.

  • Payment can be made by EFT, credit or debit card over the phone (credit card surcharge applies this is transparent pricing based on merchant fees to us)

  • If the customer chooses to add extra services or requires extra Gelato / Sorbet during the event this needs to be paid for at the time of the event for extra service is required (if available).

  • If you the (customer / client) do not fulfil the payment obligations, Roving Gelato has the right to terminate the booking in which case the deposit will not be refunded.

  • Public Holiday Surcharge 10% - Where applicable.

CANCELLATIONS AND REFUNDS

  • In the case of a cancellation the deposit as stated 50% provided at the time of booking is non-refundable.

  • If you (customer / client) cancels the booking of Roving Gelato / Roving Events less than 4 weeks before the event date, the 50% deposit is non-refundable.

  • The deposit retained by Roving Gelato is to compensate Roving Gelato for its reasonably foreseeable loss in the likely event that they will be unable to further book that date.

  • If you the (customer / client) do not fulfil the payment obligations, Roving Gelato has the right to terminate the booking in which case the deposit will not be refunded.

  • Roving Gelato / Roving Events does not provide a refund in the event of bad weather. Please make sure you have a wet weather plan in place and let our team know 2-3 days before your event where possible.

  • Roving Gelato / Roving Events does not provide a refund if the location of the event for whatever reason cancels or can't get approvals in place.

LOCATION

  • If the event is at a public area that is not a private residence or hired function venue, you the (customer / client) must ensure it obtains permission from the relevant authority for Roving Gelato / Roving Events to operate.

  • Roving Gelato / Roving Event does not simply provide a refund if you the (customer / client) can not get the relevant permissions for us to host the event.

  • Roving Gelato / Roving Event charges extra for events outside the 50km radius of Gelato Central (Oxenford - 4210) this is a flat fee based on your location and communicated before booking.

EVENT ACCESS

  • you (customer / client) must ensure there is adequate space for Roving Gelato / Roving Event carts to be set up ensuring there is flat surface to operate on.

  • you (customer / client) must ensure there is a safe undercover area available to operate in the event of bad weather during the event.

  • you (customer / client) must ensure there is not any stairs and other obstacles that may prevent carts being able to operate as desired.

  • Our cart sizes are White Cart Length 135cm x Width 75cm x Height 112cm | Bike Cart Length 228cm x Width 89.5cm x Height 119cm and weigh close to 80-120kg when ready to serve so please ensure you have checked sizes of entries and exits / access elevators.

POWER SUPPLY

  • Roving Gelato / Roving Events will need access to a power supply. You the (customer / client) must ensure a reliable power supply is available at or near the location of the carts.

  • Our carts require a power point within 20 meters. If no power is accessible additional charges may apply. You (customer / client) must supply an extension cord if / where required.

  • If the power fails for whatever reason and the Roving Gelato / Roving Events is unable to continue to operate there is no refund issued.

  • In the event of power disruption, our freezers can keep the Gelato or Sorbet cold for a couple of hours depending on weather conditions, at this time we can't be responsible for the consistency of the product/s.

  • If power is required but not available at the location of the cart/s please inform us 7 days before the event - we do have portable power options available an extra fee of $75 is payable upon requirement.

FLAVOURS

  • The quantity of gelato is based on your estimated guest count, you can add more if stock is available at any time for an additional cost.

  • Flavour choices must be submitted at least 10 working days before your event. If for whatever reason there is no flavour chosen by the event date, we will simply choose from the most popular flavour range.

  • Some of our flavours are seasonal and may not be available all year round.

  • All Maleny Co sorbets are dairy-free and vegan. Some Maleny gelato flavours may contain gluten, nuts or eggs. Please discuss any allergenic details with Roving Gelato / Roving Events at the time of booking if you require any of Maleny Co exclusive vegan range additional cost of $25 per flavour.

OTHER INFORMATION

  • If for any reason your event is running behind schedule, firstly don't stress we may in some circumstances have to enforce our start of service time that was originally agreed upon when booking this is generally only enforceable if we have another prior booking that is booked in after your event.

  • If there are any damages to our carts or equipment due to misuse on behalf of a customer, client or guest you the (customer / client) is responsible for the cost of repairs.

LIABILITY

Roving Gelato / Roving Events is not liable or responsible to you the (customer / client) or any servants, officers, contractors, guests, members, patrons, invitees or any other persons associated with them for any loss of life, personal injury or damage to or loss of property which may be suffered at any venues except where such injury, loss or damage arises because of an act or omission of Roving Gelato / Roving Events or its employees, agents or subcontractors.

ACCEPTANCE OF TERMS AND CONDITIONS

By accessing and or using this website you agree to comply with the Terms and Conditions of Roving Gelato / Roving Events. Our terms and conditions are subject to modification to respond to our business needs and we will always attempt to publish such changes as soon as reasonably possible.
